Roster control
Admins and imports manage team and player-division assignments. The portal can show an existing assignment, but families do not create or change roster taxonomy there.
Built for the work behind the work
GoVolunteer gives community organizations one practical place for scheduling, tracking volunteer hours, coordinating families, running event days, and reporting on the work that keeps a season moving.
01 / Plan the work
Keep the event hierarchy visible, from season to event to opportunity to shift. That structure makes it easier to plan a tournament, a game day, or any recurring volunteer activity without flattening important details.
Create an event, add the opportunities and roles within it, then build shifts manually or import a game or activity schedule. Set capacities, role instructions, optional certification requirements, and per-volunteer signup limits. Volunteers see eligible opportunities, with conflict prevention unless an administrator explicitly allows overlapping signups.
02 / Make participation visible
Whether your organization works in hours or shifts, GoVolunteer keeps the source events, attendance, credits, and requirements connected. That means fewer end-of-season reconciliations and a clearer answer when someone asks where a total came from.
Choose whether a season tracks hours worked or completed shifts. Check-in and completion create the participation history behind family standing, reports, exports, and the volunteer portal. Standing role assignments can contribute credits alongside event work, while manual credits and exceptional requirements remain separate, admin-controlled records.
03 / Coordinate people
Families are the account unit, with individual members eligible for volunteer signup. Keep registered-player status, volunteer eligibility, team assignment, and player division as distinct pieces of roster data. Families can use a passwordless magic-link portal to see opportunities, manage family shifts within cancellation policies, submit late-cancellation requests for review, and track hours.

A family member can discover eligible opportunities, sign up, see the family schedule, review hours, and request a passwordless magic link without a password to remember.
Import previews surface warnings and conflicts before commit. Existing assignments and verified roster details are preserved rather than overwritten casually.
04 / Run the day
The operational workspace is built for the moments that do not fit neatly on a signup sheet: a qualified role, a no-show, an open position, or a change that needs a record.
Add a free-text certification requirement to a role and show it before a volunteer confirms a qualified position. Reviewers make the decision manually for that defined requirement within the season; GoVolunteer does not automatically approve credentials, enforce a certified-slot target, or create a permanent credential.
The platform keeps assignment communication tied to the schedule. When email delivery is configured, GoVolunteer makes best-effort attempts for relevant confirmations, cancellations, assigned-shift changes, and next-day reminders. Delivery is not guaranteed, so the portal and admin views remain the source of schedule truth.
Associate teams or other season groups with an event for priority signup. An opportunity can be open to everyone, one active division, or one active team. Optional group-restricted shifts narrow what a group sees during the priority window, while designated group leaders can monitor the members and shifts within their group.
Managers get a chronological, day-first view of assigned and open positions. Check volunteers in, mark a no-show, leave the position open, or record an eligible roster fill-in. The original no-show and replacement remain separate records, preserving an honest attendance history.
05 / Keep the program healthy
The everyday setup work is part of the product, not an afterthought. Build a season, establish access, import a roster, map venues, and use the same records for operational reports.
Set up staff access with roles that match the work: Super Admin, Admin, Manager, and Operations Coordinator. Permissions keep schedule management, certification review, check-in, imports, and organization settings in the hands of the people responsible for them.
Organize each program around a season with configurable tracking and cancellation policies. Reuse group templates, divisions, venues, and spaces across seasons. Clone an event setup when useful, then add a new schedule without carrying over old shifts, assignments, or history.
Use guided CSV imports for volunteers, families, game schedules, and activities. TeamSnap imports can map teams and player divisions, with unmatched values surfaced as warnings rather than silently creating new taxonomy. Review a preview before committing roster data.
Review staffing coverage, open spots, attendance, completed participation, family standing, and season history. Authorized admins can move, remove, or correct assignments while preserving attendance evidence and activity history. Export schedules and operational data when boards, coordinators, or event partners need the detail.
06 / Cover the full operation
When an event needs paid timekeepers, scorekeepers, or other staff alongside volunteers, the paid-worker portal provides its own magic-link workflow for browsing eligible shifts, managing assignments, observing daily caps, and keeping payroll history. It remains a separate paid-worker path while fitting into the organization’s event operations.
