Privacy Policy

Last updated: August 31, 2026

GoVolunteer.app ("we," "us," or "our") is owned and operated by EBK Holdings Corp., and provides volunteer management software to organizations such as schools, sports associations, and community groups ("Organizations"). This Privacy Policy explains what information we collect through the platform, how we use it, and the choices available to Organizations and the individuals whose information they manage ("Volunteers" or "Users").

1. Who this applies to

An Organization that signs up for GoVolunteer acts as the data controller for the Volunteer and family information it enters or imports into the platform. GoVolunteer acts as a data processor, storing and processing that information on the Organization's behalf and according to its instructions. Some Organizations using GoVolunteer are schools or youth-serving groups, which means some Volunteers may be students or the parents/guardians of minors — we treat this data with additional care as described below.

2. Information we collect

Depending on how an Organization uses GoVolunteer, we may collect:

  • Account information: name, email address, and role (admin, manager, or volunteer) for anyone who logs in to the platform.
  • Volunteer and family information: names, contact details (email, phone), family/household groupings, and team or group assignments, typically entered by an Organization admin or imported via CSV.
  • Shift and activity history: shift signups, check-ins, no-shows, role assignments, and volunteer hour/credit totals used to track compliance with an Organization's volunteer requirements.
  • Organization data: seasons, events, venues, and configuration settings created by an Organization's admins.
  • Usage data: basic technical information (such as login timestamps and IP address) used for security and troubleshooting.

We do not knowingly collect payment card information, government ID numbers, or other sensitive personal data through the platform.

3. How we use this information

  • To operate the core features of GoVolunteer: scheduling, shift signups, attendance tracking, and reporting for the Organization.
  • To send transactional emails, including magic-link sign-in emails, invite emails, and shift-related notifications.
  • To provide Organization admins with reports on volunteer participation and compliance.
  • To maintain the security of accounts and investigate misuse or unauthorized access.
  • To improve the platform's reliability and usability.

We do not sell personal information, and we do not use Volunteer or family data for advertising.

4. Third-party services we use

To operate GoVolunteer, we rely on a small number of infrastructure providers who process data on our behalf, under their own security and confidentiality commitments:

  • Email delivery: we use a transactional email provider (Resend) to send magic-link sign-in emails, invitations, and notifications on our behalf.
  • Database hosting: Volunteer, family, and Organization records are stored in a managed PostgreSQL database.
  • Application hosting: the GoVolunteer application itself is hosted on secure cloud infrastructure.

On the public GoVolunteer marketing and resource pages (including the home page, signup page, and published resources), we use Google Analytics 4 ("GA4"), provided by Google LLC, to understand aggregate page visits and improve the public website. GA4 may use cookies or similar technologies and may process information such as your approximate location, device and browser information, pages visited, and visit timing. We configure GA4 to receive only public page paths and do not send names, email addresses, organization records, form contents, or authenticated application activity. Analytics is not initialized when those areas are entered directly, and analytics collection is disabled if a visitor moves from a public page into an admin, platform staff, volunteer portal, or paid-worker area.

Google processes this information under its own privacy terms. Depending on where you access the public website, applicable privacy or cookie rules may require notice, consent, or an opt-out mechanism for analytics. We will add or adjust a consent or opt-out control if required for the deployment's applicable requirements; this policy is not a legal determination for every jurisdiction. You can also review Google's information about how it handles data collected through its advertising and analytics products.

5. Data retention

We retain shift and volunteer activity history for approximately two years, after which older shift records are eligible for removal, so Organizations retain enough history for reporting and compliance without accumulating data indefinitely. Account and Organization configuration data is retained for as long as the Organization maintains an active account with GoVolunteer, or as required by law.

6. Requesting data access or deletion

Because Organizations control the Volunteer and family data they enter into GoVolunteer, Volunteers who want to review, correct, or delete their information should generally start with their Organization's administrator. Organizations can remove or archive Volunteer and family records directly within the platform. If you are unable to reach your Organization, or if you are an Organization admin who needs help exporting or deleting your Organization's data from GoVolunteer entirely, contact us using the information below and we will assist.

7. Data involving minors

Some Organizations that use GoVolunteer (such as schools and youth sports associations) may enter information about students or minors as part of family or team records. This information is entered and controlled by the Organization, and is used solely to support the Organization's volunteer coordination — for example, associating a family with a school or team. We do not knowingly allow minors to create their own GoVolunteer accounts directly.

8. Data security

We use industry-standard measures to protect data in transit and at rest, including encrypted connections, password-less (magic-link) authentication to reduce credential-related risk, and role-based access controls so that Organization staff only see the data relevant to their role.

9. Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the "Last updated" date above and, where appropriate, notify Organization admins.
